Office Relocation in Jakarta: A Complete Guide from Search to Move-In

Most companies planning an office move count the time from the wrong end. What gets estimated is the interior work, which is actually the final stage and the shortest one. The stage before it, finding a space and negotiating the lease, is almost always far longer and is where schedules slip.

This article maps the full office relocation journey in Jakarta, including the parts that are not our work. The purpose is straightforward: so you can build a realistic schedule from the start, and know who to call at which stage.

The four stages of an office relocation

Stage 1: Finding a space and negotiating the lease

Duration: 3 months to 2 years.

That range looks extreme, but it reflects what actually happens. Companies that already know their requirements, the floor area they need, and their budget band can be done in three months. Companies still weighing several districts, waiting for an existing lease to expire, or needing approval from a head office abroad can take up to two years.

This stage is not the work of an interior contractor. It belongs to property consultants: the people who hold availability data, know market rates by district, and negotiate lease clauses for a living.

Stage 2: Selecting an interior contractor

Duration: 1 to 2 months.

This covers the site survey, brief development, design direction presentation, Bill of Quantities preparation, and scope negotiation through to a signed contract.

It can run in parallel with the end of stage 1, and it should. Many companies only start looking for a contractor after the lease is signed, by which point rent is already running on a space that cannot be used. How to assess candidates is set out in our guide to choosing an interior contractor.

Stage 3: Design and construction

Duration: 4 to 12 weeks.

This range covers design development through to completed working drawings, plus construction on site. What determines where you land within it is the starting condition of the space, not its floor area.

  • Bare condition: 8 to 12 weeks. No ceiling in place, the floor still needs screeding, every system is built from zero.
  • Semi furnish: 4 to 6 weeks. Part of the interior already exists, with work centred on refinishing floors and replacing ceiling in critical areas.
  • Furniture only: around 3 weeks. The space is ready, only furniture supply and installation is required.

Stage 4: Moving in and handover

Duration: a few days to two weeks.

This covers the joint final inspection, formal handover, moving items from the previous office, and closing out the defect list. The last stage is the one most often underestimated. On projects that go wrong, closing defects can take longer than the construction itself.

The realistic total

Adding the four stages together, an office relocation in Jakarta takes:

At best around 5 to 6 months for a company that knows exactly what it needs. At worst up to 2.5 years when the search for a space drags on.

Compare that with the assumption we meet most often in first meetings: six to eight weeks. That figure is not wrong, but it describes only the third stage. The gap is not a minor detail. It is the difference between a schedule that can be met and one that is certain to slip.

Who does what

We should state this plainly: Intermulti does not find or negotiate office leases. Our work begins once the location is settled, covering design, permits, MEP, custom furniture, construction, and handover.

For the search stage we work with a number of property consultants in Jakarta. The arrangement is a referral partnership, and it usually runs like this:

  • From consultant to us. A prospective tenant contacts a property consultant, usually online. Once they settle on a building, tenants without a fit out vendor typically ask whether the consultant has an interior design and build partner. That is the point at which we get recommended.
  • From us to consultant. Less frequent, but it happens. Existing clients planning a move are referred to a property consultant to find a space that fits their requirements.

Referrals usually happen early, before the lease is finalised. That matters, because a contractor brought in before signing can still give input that changes outcomes: whether the space is bare or semi furnish, whether the building restricts working hours, and roughly what the fit out will cost for that particular floor. After the lease is signed, none of that is negotiable.

For now these partnerships run on trust-based agreements, and one property consultant is in the process of putting a confidentiality agreement in place before beginning to refer their clients to us.

The most expensive scheduling mistake

The pattern we see repeatedly: a company signs a lease with a set commencement date, then starts looking for a contractor. The rent is already running from that date.

If contractor selection takes six weeks and construction takes another eight, that is roughly three and a half months of rent paid on a space nobody can occupy. For a 500 m² office in a Jakarta business district, the figure is not small.

Avoiding it is simple: begin the contractor selection process while lease negotiations are in their final stage, not after signing. Construction can then start as soon as access to the space is granted.
